As a Workflow Specialist, you will lead the design, implementation, and optimization of business processes across multiple departments including clinical operations, revenue cycle, marketing, sales, and administration. Your work will directly enhance efficiency, accuracy, and scalability through automation and system integration.
Key Responsibilities
- Map and analyze end-to-end workflows to identify inefficiencies, redundancies, and opportunities for automation.
- Design and maintain automated processes using platforms such as Zapier, RingCentral, Monday.com, SalesMate, and EMR/EHR systems.
- Develop and manage API integrations between core systems including CRM, billing, VOIP, AI agents, and data warehouses.
- Translate operational requirements into technical specifications for integrations and custom logic solutions.
- Implement monitoring, alerts, and error-handling mechanisms to ensure system reliability.
- Build custom middleware, scripts, and functions using languages like Ruby, PHP, JavaScript, HTML, and CSS when native tools fall short.
- Ensure all workflows support clean, structured data delivery to analytics and reporting environments.
- Collaborate with engineering, product, and operations teams to implement scalable technical solutions.
- Refactor and optimize existing codebases for performance, security, and maintainability.
- Enforce compliance with HIPAA Security Rule standards, including encryption, access controls, audit logging, and secure data handling.
- Conduct regular compliance reviews during workflow design or modification to prevent data exposure or policy violations.
- Train teams on new processes, tools, and compliance protocols, supporting change management during system rollouts.
- Document configurations, integrations, and procedures to support audits and internal reviews.
- Partner with leadership to understand operational challenges and develop sustainable workflow solutions.
Qualifications
- Proven experience in workflow automation, system integration, and process optimization.
- Hands-on experience with tools such as Zapier, CRM platforms, EMR/EHR systems, and data warehouses.
- Strong technical proficiency in API design, system configuration, and error handling.
- Experience developing custom logic using Ruby, PHP, C++, JavaScript, or similar languages.
- Ability to create reusable, maintainable components for evolving business needs.
- Solid understanding of data governance, risk mitigation, and incident response practices.
- Experience handling Protected Health Information (PHI) in compliance with HIPAA regulations.
- Strong documentation and training skills, with a focus on clarity and usability.
- Collaborative mindset with the ability to work across technical and non-technical teams.
