As a Talent Acquisition, Onboarding Specialist, you’ll play a key role in shaping the first impressions of new team members. You'll guide candidates through the transition from offer acceptance to their first day, ensuring a smooth and compliant onboarding journey. This includes collecting and verifying I-9 documentation, often via live video sessions, and managing essential pre-hire steps such as background checks and new hire paperwork.
Key Responsibilities
- Support recruiters by gathering offer letters and onboarding documents from new hires
- Complete I-9 verifications accurately and in compliance with federal regulations
- Coordinate onboarding workflows using UKG, ensuring all steps are tracked and completed on time
- Communicate with internal teams in IT and Facilities to arrange equipment setup and distribution
- Respond to a high volume of candidate inquiries via email and virtual meetings
- Engage with new hires consistently to maintain a positive experience and reduce drop-off
- Assist with ongoing projects such as employee referral programs, recruitment marketing, and system audits
Qualifications
You bring at least two years of experience handling I-9 processing and thrive in environments that demand precision and organization. You’re known for your attention to detail, ability to manage competing priorities, and clear communication across digital and verbal channels.
- Proven experience with I-9 compliance and onboarding high-volume roles in a remote setting
- Strong familiarity with applicant tracking systems such as Greenhouse or Ashby
- Hands-on experience with UKG or similar HRIS platforms
- A proactive mindset with the ability to solve problems independently and improve processes
Work Environment
This is a permanently remote role open to candidates across multiple U.S. states. You’ll need a private, quiet workspace and must be comfortable with camera-on interactions during virtual onboarding sessions. Offices are available in select cities for occasional use.
Compensation & Benefits
This position offers a salary range of $50,000–$65,000 annually, depending on experience and location. Additional components include eligibility for an annual bonus, participation in the company equity program, and a comprehensive benefits package covering medical, dental, and vision insurance.
