Role Overview
The Senior Occupancy Planner delivers strategic space planning expertise to help clients manage real estate supply, capacity, and workforce demand. This role ensures that physical workspace aligns with organizational needs through data analysis, layout design, and change management. The planner supports long-term planning and immediate operational needs, adapting strategies as business conditions shift.
Key Responsibilities
- Produce detailed site-level occupancy plans, including headcount projections, seat availability models, stacking diagrams, and scenario forecasts.
- Lead planning initiatives such as office relocations, restacking efforts, consolidations, and migration strategies.
- Evaluate space usage through site visits and reporting tools to uncover cost-saving and efficiency opportunities.
- Design conceptual and technical floor layouts, stack plans, and space configurations using AutoCAD and related software.
- Coordinate weekly small and large group moves, along with monthly site-to-site relocations, in collaboration with facilities teams, project managers, and external vendors.
- Execute move plans in line with approved strategies, adjusting for organizational changes such as mergers, acquisitions, or restructuring.
- Conduct floor audits, site surveys, and data collection to maintain accurate space records and compliance with client standards.
- Update and manage CAFM/IWMS platforms—including iOffice and TRIRIGA—with current CAD drawings and space allocation details.
- Lead neighborhood planning sessions, move coordination meetings, and town halls to support communication and change adoption.
- Deliver space utilization reports highlighting trends in hiring, turnover, vacancy rates, and forecast performance.
- Present insights and recommendations to stakeholders through reports and operational briefings.
- Work with cross-functional teams to align space planning with business goals and operational requirements.
- Identify and implement process improvements to enhance data accuracy, service delivery, and cost effectiveness.
- Support budget development for capital and operating expenses tied to occupancy initiatives.
- Guide junior planners and contribute to team knowledge sharing and professional development.
- Ensure all planning activities follow client policies, space standards, and procedural guidelines.
Required Qualifications
- Must reside in Virginia, Maryland, Washington, D.C., or the Eastern Time Zone.
- Bachelor’s degree in Architecture, Interior Design, Facilities Management, Real Estate, Construction Management, or a related field; or at least 10 years of relevant experience.
- 5 to 7 years of experience in occupancy planning, space management, or corporate real estate operations.
- Proficiency in AutoCAD and CAFM/IWMS systems, with preference for iOffice and experience in TRIRIGA.
- Advanced skills in Microsoft Excel, including PivotTables, VLOOKUP, and Index/Match functions, as well as experience with Power BI or Tableau.
- Familiarity with space planning concepts, workplace strategy, and utilization metrics.
- Ability to interpret architectural drawings and floor plans.
- Experience coordinating moves and managing service requests.
- Strong organizational, analytical, and critical thinking abilities.
- Capable of creating user documentation and applying policies consistently.
- Knowledge of BOMA standards and poly-lining practices.
- Proven ability to manage multiple projects independently and lead stakeholder presentations.
Preferred Qualifications
- Certifications in CAFM systems, AutoCAD, Corporate Real Estate, LEED, or Facilities Management (such as IFMA or CoreNet) are beneficial.

Work Mode
This is an onsite position based in Virginia, Maryland, or Washington, D.C. Regular on-site presence is required to support move activities and client needs. Flexibility to work evenings and weekends is necessary to accommodate project timelines and urgent requests. The role also requires the ability to respond promptly to emergencies or urgent service demands.
Compensation
Annual salary range: $83,810.00 – $98,600.00
