Position OverviewJoin a purpose-driven team as a Senior Project Coordinator based in Nairobi, working across global and regional teams to deliver high-impact initiatives. This fixed-term role runs until April 2027 and centers on advancing AI integration in newsrooms, with additional support for thematic programs in media development and access to justice. Reporting to the Head of the Africa Hub, you will ensure smooth project delivery from planning through to evaluation.

Key Responsibilities

  • Lead end-to-end coordination of project activities, including forecasting, planning, implementation, and reporting
  • Manage project budgets, track expenditures, and ensure financial compliance in collaboration with internal finance teams
  • Oversee logistics for virtual and in-person events, including workshops, training sessions, and mentoring programs
  • Onboard and engage participants, ensuring clear communication and alignment with project goals
  • Coordinate with internal teams such as Resilience of Independent Media and Access to Law, as well as operational units in communications and finance
  • Monitor project timelines and deliverables in partnership with the Portfolio Manager, updating plans as needed
  • Identify emerging risks and support the development of mitigation strategies in coordination with project leads
  • Contribute to impact reporting by gathering participant feedback and shaping progress updates for internal and external stakeholders
  • Support knowledge sharing within the programs team by documenting lessons learned and best practices
  • Manage procurement processes for vendors and consultants in line with organizational policies
  • Ensure accurate recordkeeping of invoices, contracts, and supporting documentation
  • Act as a liaison with external partners, ensuring adherence to project timelines and reporting requirements
  • Support communications efforts in collaboration with project leads and donor partners

Qualifications and Skills

  • Minimum of three years of experience in project coordination, with demonstrated ability to manage multiple priorities and stakeholders
  • Proven track record in building collaborative relationships across diverse cultural and organizational contexts
  • Strong organizational and follow-through skills, with keen attention to detail
  • Experience managing project risks and adapting strategies to changing contexts
  • Proficiency in administrative and financial processes, including budget tracking and reporting
  • Experience organizing both virtual and in-person events and training programs
  • Excellent interpersonal and communication abilities, with fluency in English
  • High comfort level with Microsoft Office tools, including Word, Excel, Outlook, and Teams
  • Familiarity with CRM systems such as Salesforce is an asset
  • Willingness to travel internationally as project needs arise
