MZLA Technologies Corporation is hiring a Senior Executive Assistant

Responsibilities

  • Serve as a central point of connection between executive priorities, teams, and information flows to maintain clarity, alignment, and progress on key initiatives.
  • Facilitate timely, clear, and professional communication between executive leaders, internal teams, external partners, and the broader organizational network, aligned with leadership goals.
  • Manage and balance the priorities of two Managing Directors, proactively resolving scheduling conflicts and aligning commitments across calendars and time zones.
  • Support cross-functional projects through coordination, research, briefing materials development, and tracking of action items to ensure forward momentum.
  • Lead comprehensive planning for Board meetings, senior leadership gatherings, and other critical sessions, including materials, logistics, and follow-up tracking.
  • Collaborate with Legal, HR, Finance, and other functions to support governance, planning, onboarding, and organizational alignment.
  • Oversee complex administrative operations such as executive calendar management, multi-time zone scheduling, domestic and international travel arrangements, and expense reporting.
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive and private information.
  • Coordinate logistics and planning for offsites, work weeks, and other organizational events.
  • Foster trusted relationships across departments to enable collaboration and effective execution.

Requirements

  • 8 to 10 years of experience providing high-level executive support in a technology or multi-location organization, with a track record of operating independently.
  • Proven experience coordinating Board and senior leadership meetings from start to finish.
  • Demonstrated ability to anticipate needs, take initiative, and work autonomously with strong decision-making skills.
  • Outstanding organizational abilities and attention to detail, with capacity to manage multiple shifting priorities.
  • Proven discretion and integrity in handling confidential and sensitive information.
  • Excellent written and verbal communication skills, including preparing or refining briefing documents for senior audiences.
  • Proficient in Google Workspace and digital collaboration tools, with a focus on improving workflow efficiency.
  • Comfortable working remotely in an asynchronous, globally distributed environment across time zones.
  • Experience supporting international teams with awareness of diverse cultural work practices.
  • Adaptable and resilient in fast-moving settings, with a thoughtful and solution-focused mindset.
