Canadian Nuclear Laboratories (CNL) is hiring a Senior Document Controller

Role Overview

This position is responsible for managing and maintaining organizational records and information assets within a regulated environment. Working fully remotely across Canada, the Senior Document Controller ensures all documentation is accurate, properly archived, and compliant with internal policies and industry standards. The role supports stakeholders at all levels, provides guidance on document practices, and mentors junior staff in best practices for information management.

Key Responsibilities

  • Review and register functional documents, including management system and operational records, ensuring alignment with established hierarchies and content standards.
  • Ensure all information assets are stored according to defined procedures, retention schedules, and security protocols.
  • Serve as the main point of contact for document-related inquiries, offering clear interpretation of policies and handling requests from internal and external parties.
  • Conduct regular audits of records maintained by client groups and document controllers, identifying discrepancies and guiding corrective actions.
  • Monitor deliverables timelines, generate status reports, analyze delays, and collaborate on process improvements.
  • Format complex documents and develop basic forms to meet client needs.
  • Provide temporary support to other teams within the department as operational demands require.
  • Respond to routine information requests with accuracy and timeliness, maintaining clear communication channels.
  • Issue and archive departmental correspondence and assist with general administrative functions.
  • Support broader departmental goals by stepping in where needed across documentation and records workflows.
  • Perform additional duties as directed by management.

Required Qualifications

  • Post-secondary education with 3–5 years of relevant experience, OR a recognized document control certification with equivalent experience, OR at least 10 years of progressive experience in document or records management.
  • Advanced proficiency in Microsoft Office and Adobe tools for report filtering, PDF creation, document formatting, and archival preparation, including editing procedures and building flowcharts.
  • Strong experience with electronic document management systems (EDMS) for searching, validating, issuing, and archiving records.
  • Practical understanding of industry standards and best practices in document control, records management, and archival procedures.
  • High attention to detail when reviewing document formatting, metadata, coding, and compliance.
  • Clear communication skills, both written and verbal, to explain procedures and policies to diverse audiences.
  • Ability to interact professionally with individuals at all organizational levels.
  • Eligibility for Reliability Status security clearance, requiring a verifiable residence history in Canada, the U.S., U.K., Australia, or New Zealand over the past 3–5 years.

Work Environment

This is a fully remote role with no requirement to be onsite. The position supports operations at the Chalk River Laboratory in Ontario, with collaboration conducted virtually across multiple locations. Team coordination occurs through digital platforms, enabling flexible yet structured workflows.
