Canadian Nuclear Laboratories (CNL) is hiring a Senior Document Controller to maintain high standards in records management, organize critical documents, and ensure information is accurate, accessible, and secure. You will be responsible for safeguarding CNL's information assets, providing guidance to junior document controllers, and ensuring strict compliance with all procedures.
What You'll Do
- Register and review Functional Documents, coaching client groups on content expectations and document hierarchy.
- Ensure all information assets are filed according to applicable procedures, policies, and processes.
- Act as the primary contact for routine inquiries, interpret information-management procedures, and communicate protection and retention rules.
- Conduct audits of records filed by client groups and document controllers, identify errors, direct corrections, and troubleshoot workflow exceptions.
- Maintain deliverables schedules, prepare status reports, perform cause analyses, and collaborate on solutions to address issues.
- Format large documents and build simple forms on behalf of clients.
- Provide backup support to other sections and roles within the department as needed.
- Respond to routine information requests from internal and external stakeholders, ensuring timely and accurate communication.
- Issue and file departmental correspondence and provide general administrative support.
- Support departmental operations by assisting other roles within the section as required.
What We're Looking For
- Education: Successful completion of post-secondary education with 3-5 years of related experience, OR document control certification and 3-5 years of related experience, OR a minimum of 10 years of progressing document control experience.
- Advanced knowledge of Microsoft Office Suite and Adobe to filter reports, capture documents in PDF format, format documents for archival, and modify procedures and flowcharts.
- Advanced knowledge of electronic document management systems to search for, validate, process, issue, and archive documents.
- Demonstrated practical knowledge of industry-specific and best practice document control, records management, and archival standards.
- A detail-oriented approach to identify discrepancies and errors in formatting, coding, metadata, and records.
- Strong oral and written communication skills to interpret and explain existing procedures to customers and coworkers.
- Ability to engage clients at all levels of the organization with tact and courtesy.
- Eligibility for Reliability Status security clearance, which requires a minimum of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States, and/or the United Kingdom.
