Role Overview
This position is responsible for managing the post-offer phase of recruitment, ensuring each candidate moves efficiently and compliantly toward onboarding. The analyst plays a key role in maintaining process accuracy, candidate engagement, and operational transparency throughout the final stages of hiring.
Key Responsibilities
- Oversee the full onboarding workflow for selected candidates, from offer issuance through pre-employment clearance
- Issue formal recruitment agreements and verify submission of all required documents
- Monitor completion of identification, compliance, and government-mandated requirements
- Coordinate onboarding schedules to align with training cohort readiness
- Confirm candidate clearance prior to program start dates
- Engage directly with third-party background screening providers to track progress
- Monitor processing times and follow up on delays or incomplete checks
- Resolve documentation gaps through direct candidate outreach
- Maintain compliance protocols before final offer validation
- Elevate high-risk cases according to internal risk assessment guidelines
- Act as the main point of contact for candidates after offer acceptance
- Deliver timely updates across the recruitment pipeline
- Respond to inquiries about documentation, timelines, and onboarding conditions
- Ensure all communications reflect organizational standards
- Minimize candidate drop-off through consistent follow-up
- Manage distribution emails related to recruitment operations
- Respond promptly to internal and external requests and route them to appropriate teams
- Maintain clear records of all candidate interactions
- Keep applicant tracking system (ATS) data accurate and current
- Track candidate progression through each stage of onboarding
- Maintain logs for background checks and onboarding milestones
- Support reporting on clearance rates, onboarding status, and cohort readiness
- Provide regular updates on key performance indicators
- Identify process delays and recommend improvements
Qualifications
- 2–4 years of experience in recruitment coordination, HR operations, onboarding, or compliance-related roles
- Completed bachelor’s degree in a relevant field
- High level of accuracy with strong focus on regulatory and procedural compliance
- Clear and effective communication skills, written and verbal
- Strong organizational abilities with experience managing multiple timelines and candidates
- Proactive in following up with stakeholders and resolving issues
- Demonstrated sense of urgency and accountability
