Geosyntec was looking for a Proposal and Marketing Specialist

Responsibilities

  • Lead end-to-end competitive proposal development, from initial planning to submission and post-award review, including internal and client debriefs for wins and losses.
  • Refine messaging and key selling points in written and visual materials for client-facing presentations; determine optimal sequencing and layout for proposals and qualifications.
  • Write proposal content including executive summaries, win themes, proof points, relevant project experience, and team bios or organizational charts.
  • Ensure full compliance with proposal and SOQ requirements, supervise production workflows, and coordinate timely delivery.
  • Create and manage schedules and tracking tools for proposal pursuits; distribute drafts and collect feedback from technical leads and decision-makers.
  • Build systems to organize and retrieve data on markets, clients, consultants, staff, projects, past submissions, standard content, graphics, and contact lists.
  • Identify business development leads and facilitate collaboration among technical staff and business units across disciplines and locations.
  • Monitor business development opportunities using a Client Relationship Management (CRM) platform.
  • Support technical and marketing leads by researching past RFPs, evaluation panel responses, and gathering intelligence on upcoming client initiatives.
  • Supervise team members in maintaining marketing materials, including updating resumes, project summaries, and task timelines.
  • Design branded, audience-specific presentations with focused messaging.
  • Draft and approve press releases and announcements for internal and external distribution.
  • Collaborate with branch-level teams to create marketing strategies aligned with the organization’s strategic goals.
  • Conduct market research under guidance to assess target audience preferences, competitive landscape, and market opportunities.
  • Identify suitable candidates for marketing roles to meet office, local, and regional demands.
  • Manage submissions for awards programs and verify adherence to all entry guidelines.
  • Analyze client, competitor, and market data—past, present, and potential—and report insights to leadership.

Collaborates with technical and marketing teams across disciplines and branches to support business development and strategic objectives.

Responsibilities

  • Coordinate and lead all aspects of the competitive proposal preparation - from initial planning through delivery and post-award, including internal and client debriefs on wins or losses;
  • Review and hone messages/win themes within written and visual information for client presentations; identify appropriate story-boarding of proposal/quals layout;
  • Draft content such as introduction, win themes, proof statements, relevant experience, project teams/organizational charts;
  • Overall responsibility for proposal/SOQ criteria and compliance, oversee production, and arrange for on-time deliveries;
  • Develop scheduling and tracking systems for individual pursuit and proposal elements and be responsible for distribution & receiving input from key technical leads and decision makers;
  • Develop systems to extract, categorize, and retrieve information related to markets, clients, consultants, personnel, projects, prior proposals, boilerplate, visuals, and mailing lists;
  • Identify BD leaders and help connect seller-doers across disciplines, and branches, and/or business development initiatives;
  • Track business development opportunities via Client Relationship Management system (CRM);
  • Assist technical and marketing leads with research related to prior pursuit RFP/evaluation panel questions-answers as well as gather information on potential client projects;
  • Oversee staff in managing routine marketing collateral (e.g., keeping key task schedules on-track, and resumes and project descriptions up to date);
  • Develop branded presentations with targeted messaging;
  • Create/approve news announcements for internal and external postings;
  • Work closely w/ Branch technical and marketing teams to develop plans that align with the company’s Strategic Plan (i.e., overall goals and objectives);
  • Under guidance from Branch technical and marketing teams, conduct targeted market research to understand preferences of target audiences, drivers/competitors/opportunities;
  • Identify marketing candidates for both office and local-regional needs;
  • Manage awards competition entries; ensure compliance with award requirements;
  • Analyze research data related to clients; competitors; past, current, and prospective markets; present findings to leadership.
