EMAPPLY is hiring a full-time Operations Executive Assistant to act as the right hand to the founder of a fast-growing, U.S.-based IT services company. This role is central to making the business run smoother, combining executive assistance, operational support, and billing administration.
What You'll Do
- Manage the CEO’s inbox and calendar
- Send, track, and follow up on invoices using Autotask and QuickBooks Online
- Maintain financial spreadsheets and internal billing systems
- Coordinate project time tracking and approvals
- Draft clear, professional client communications
- Help define and track team KPIs
- Handle occasional personal errands (e.g., booking dinners, sourcing contractors)
What We're Looking For
- Experience with invoicing tools like QuickBooks Online
- Prior experience supporting executives or founders
- A proactive and self-managing work style
- Financial literacy and confidence using spreadsheets
- Excellent written and spoken English skills
- A resourceful, teachable, and detail-oriented approach
- An eagerness to grow professionally and willingness to handle both big and small tasks
