Ramboll is hiring an Office Manager to ensure the smooth operation of our Atlanta, Georgia office while providing remote support to our Raleigh, NC and Tampa, FL locations. You'll be responsible for general office operations and facilities supervision, ensuring staff have the tools, supplies, and administrative support to efficiently complete their projects. What You'll Do
- Organize, lead, and support administrative team projects and workflow to meet internal client needs.
- Enter client information into the Customer Relationship Management (CRM) system and create reports.
- Use Maconomy (corporate accounting system) to support project managers and liaise with project accountants.
- Support internal and client meetings by coordinating calendars, booking resources, arranging catering, and serving as IT/building management point-of-contact.
- Prepare and schedule office business activities, travel arrangements, and social events.
- Direct and lead updates to office-related policies and procedures.
- Communicate office employee announcements and maintain the Atlanta office intranet page.
- Support onboarding of new employees to the Atlanta office.
- Work with insurance broker regarding certificates of insurance and compliance.
- Oversee and coordinate local office renovations, repairs, and maintenance.
- Answer the office main phone line and route customer inquiries.
- Manage incoming/outgoing mail and courier packages.
- Work with supply vendors, review/approve invoices, and serve as SupplHi (procurement system) liaison.
- Partner with peer Office Managers on various projects and people-related matters.
- Coordinate and support staff on remote/hybrid schedules, including hot desking and workspace assignment.
- Serve as primary liaison with the property management company and other third parties.
- Support office consulting staff with expense reports and other administrative tasks.
- Support preparation of client and bid deliverables, including document formatting.
- Work with consulting staff to identify needed services and coordinate provision with IT and other support organizations.
What We're Looking For
- Five or more years of experience as an office administrator or executive assistant.
- Accounting and project management experience (procurement, budgeting/scheduling, etc.).
- Experience using CRM software and/or Maconomy (or other corporate accounting system).
- Strong administrative project management and task leadership experience.
- Well-developed leadership, organizational and planning skills with attention to detail.
- Expertise with Microsoft Office 365 (Word, Excel, PowerPoint, OneDrive, Teams, Outlook).
- Ability to troubleshoot office equipment and assist with setting up virtual meetings.
- Excellent written and verbal communications skills, including proofreading and editing.
- Ability to multi-task and juggle multiple competing tasks and demands.
- Ability to take ownership and work independently with minimal supervision.
- High level of discretion to handle sensitive and confidential situations.
- Continually demonstrated poise, tact, and diplomacy.
- Must be in the office 4 days a week, Monday through Friday, during normal business hours, with occasional support of social events outside normal hours.
- Physical requirements: Reaching, Standing, Sitting, Lifting, Repetitive motions.
Nice to Have
- Supervisory experience, preferably in a professional services setting.
- BS degree in business, communications, or a relevant field.
- Strong customer skills/mindset; prior experience in a professional client services role.
- AA degree or equivalent experience considered.

Team & Environment
Provides support to office leadership teams, management, consulting, and business support staff. Partners with peer Office Managers. Liaises with the Workplace Management team, IT, HR, and Americas procurement group.
