As an Intellectual Property Docketing Specialist, you will play a key role in maintaining the accuracy and reliability of clients' intellectual property records. You'll process a wide range of IP-related actions, from new patent and trademark filings to renewals, assignments, and legal challenges, ensuring every deadline is met with precision.
What You'll Do
- Monitor and analyze communications from clients, agents, and IP offices to identify required actions
- Update and maintain IP management systems with accurate, up-to-date information
- Process new applications for patents, trademarks, and industrial designs
- Manage domain name portfolios and copyright registrations
- Track critical due dates and issue timely reminders to prevent lapses
- Handle legal events including oppositions, refusals, cancellations, and infringement matters
- Record changes in ownership, name, or address for IP rights
- Prepare and submit declarations of use and renewal documentation
- Digitize and upload supporting documents into case files
- Verify document accuracy and flag discrepancies for correction
- Conduct regular audits to ensure database consistency
- Generate and distribute docketing reports as needed
- Support client transition projects involving system transfers
Requirements
- University degree in a relevant field
- Fluency in English and French, or German, or Italian, both written and spoken
- Demonstrated ability to work independently with high precision
- Strong organizational and administrative capabilities
- Excellent time management and ability to handle multiple tasks efficiently
- High level of attention to detail and commitment to data accuracy
- Proficiency in MS Office applications, including Outlook, Word, Excel, and Access
- Strong interpersonal skills with a professional and discreet approach
