What You'll Do
- Diagnose inefficiencies in current operations and lead the redesign of workflows to improve speed, clarity, and effectiveness
- Deploy AI agents and low-code automation platforms to reduce manual effort and increase system scalability
- Ensure global operational infrastructure runs smoothly with minimal oversight by designing self-sustaining systems
- Conduct regular reviews of existing processes and systems to eliminate redundancy and maintain a lean, integrated tech environment
- Oversee the full lifecycle of Accounts Payable, from setup to execution, ensuring accuracy and compliance
- Build automated rules for transaction coding and approval workflows to reduce errors and delays
- Design synchronization logic between donor records in the CRM and actual bank deposits to maintain data integrity
- Create real-time dashboards and tracking tools that keep finance teams aligned with deadlines using automated alerts
- Shift finance responsibilities from routine tasks to oversight by training teams to audit automated outputs effectively
- Ensure team members can confidently operate and maintain AI-enhanced systems through clear guidance and support
- Lead strategic initiatives for leadership to improve cross-functional efficiency
- Optimize the use of virtual assistant teams by designing clear, repeatable workflows and defining measurable performance goals
- Monitor team output and adjust processes to maintain quality and responsiveness
- Spot areas of operational drag and implement fast, targeted solutions using automation
Requirements
- Demonstrated ability to identify inefficiencies and prioritize improvements by listening to team feedback and analyzing workflows
- Hands-on experience with automation tools such as ChatGPT, Gemini, Zapier, and Google Workspace integrations, with a mindset that treats AI as essential to modern operations
- Strong data organization skills, including building formulas and managing complex spreadsheets to support operational efficiency
- Proven ability to simplify technical systems into intuitive tools and train others to use them independently
- Undergraduate degree and 3–5 years of experience in Operations, Systems Management, or a high-responsibility administrative role focused on building—not just following—processes
