Aristo Sourcing is hiring an Executive & Operations Assistant to provide direct, high-level support to the Managing Director while ensuring the smooth daily operation of the office, facilities, and related business functions. This is a dynamic, multifaceted role ideal for someone who thrives on variety and maintaining organizational excellence.
What You'll Do
- Verify and secure weekly cash and credit card slips.
- Order and manage all office supplies, including stationery, kitchen, and cleaning stock.
- Coordinate with electricians, plumbers, and other specialists for quotes, invoices, and repairs.
- Manage cleaners’ schedules, payments, and performance.
- Be the primary contact for staff inquiries regarding payroll, holidays, and sick leave.
- Conduct outbound callbacks for physiotherapy or personal training inquiries.
- Oversee Airbnb property operations, including bookings, guest check-ins/outs, support, and cleaning coordination.
- Conduct regular property and equipment condition checks.
- Cross-check receipts, expenses, and credit card transactions.
- Maintain weekly reports on corporate wellness, personal training performance, payments, and expenses.
- Assist with invoices, VAT submissions, and financial reconciliations using Xero.
- Support the Managing Director with travel bookings, research, and personal administrative tasks.
- Assist in long-term planning and special projects.
- Maintain strong relationships with service providers, cleaners, and vendors to ensure quality and reliability.
What We're Looking For
- In-depth background in a remote work setup, similar to freelancing as an Independent Contractor.
- Proven experience as an Executive Assistant, Office Manager, or Operations Assistant.
- Strong organizational and multitasking skills with meticulous attention to detail.
- Proficiency in financial administration, including invoices, expense tracking, and reconciliations.
- Experience with accounting software (especially Xero) and MS Office or Google Workspace.
- Excellent communication and interpersonal skills for interacting with staff, customers, and service providers.
- Ability to work independently, prioritize effectively, and solve problems proactively.
- A reliable high-speed internet connection with a backup plan.
Nice to Have
- Previous experience in property management (Airbnb or similar).
- Knowledge of facilities coordination and vendor management.
- Experience in customer support or basic staff relations (handling leave, payroll queries).
- A flexible and adaptable approach to supporting both business and personal tasks for the executive.
