Role Overview
This position supports the Client Growth team by handling operational tasks that keep client engagements running smoothly. The Coordinator ensures timely scheduling, accurate data management, and consistent follow-up processes, enabling advisors to concentrate on delivering value to clients.
Key Responsibilities
- Coordinate all scheduling for client sessions, including initial calls and ongoing account management meetings
- Manage advisor calendars from start to finish—handling availability, confirmations, rescheduling, and outreach to unresponsive clients
- Collect and monitor client intake materials and pre-work; identify and report clients who may be disengaging
- Keep client records up to date in HubSpot, logging interactions, adjusting statuses, and tracking availability in the float pool
- Spot early signs of client risk, escalate issues promptly, assist with follow-up actions, and manage logistics for re-engagement
What You Need
- Clear and effective written communication skills with minimal need for supervision
- Proven ability to stay organized and maintain consistency across many tasks
- Experience with CRM platforms, particularly HubSpot, with a focus on data integrity
- Sharp attention to detail and a commitment to catching errors before they affect outcomes
- Sound judgment in identifying when and how to escalate issues

Work Schedule
Monday through Friday, 8:00 AM – 5:00 PM MST. Some flexibility is required to support workshops, special events, or urgent client needs outside standard hours.
Compensation
Annual salary range: $50,000 – $60,000
