About the Role

House Buyers of America is hiring a Executive Assistant (Remote) to provide high-level administrative support to the CEO of our fast-paced, growth-oriented real estate company. You will manage a wide range of responsibilities with a high level of accuracy and confidentiality, supporting executive operations and contributing to key projects.

What You'll Do

  • Manage and prioritize the CEO’s calendar and schedule.
  • Manage the CEO’s inbox, screening, responding to emails, and prioritizing urgent communications.
  • Provide executive administrative support for projects, performing analyses and preparing documentation.
  • Coordinate adherence to deadlines and completion of special projects, correspondence, and reports.
  • Develop and refine presentations for the executive leadership team.
  • Plan and organize meetings.
  • Sit in on meetings, report back to CEO, and communicate CEO priorities.
  • Bid out vendors and key resources, negotiating best pricing and terms.
  • Assist with development and preparation of various reports and schedules.
  • Compose, edit, and proofread correspondence, contracts, reports, and presentations.
  • Update task management software for key action items.
  • Provide communication support across the practice area.
  • Compile meeting agendas and minutes as needed.
  • Perform routine administrative tasks such as filing and drafting correspondence.
  • Read and analyze incoming memos, submissions, and reports to determine significance and plan distribution.
  • Prepare responses to routine correspondence inquiries.
  • Maintain strict confidentiality of company and executive information.
  • Occasionally interview candidates.
  • Perform various administrative functions as requested.

What We're Looking For

  • Minimum of 3 years of experience supporting executives.
  • 10+ years of administrative experience.
  • Strong communication skills, both written and verbal.
  • Strong skills within MS Office Suite.
  • Ability to develop presentations and materials that are client and/or executive management ready.
  • Associate’s degree from an accredited university.

Nice to Have

  • Bachelor’s degree from an accredited university.

Team & Environment

You will be supporting the CEO and executive leadership team, reporting directly to the CEO.

Work Mode

This is a fully remote position. The role is available to candidates in Dallas, TX.
