About the Role

Back to jobs is hiring a remote Executive Assistant to provide high-level support directly to the CEO. This role is central to the executive team, managing a dynamic schedule and critical communications, and requires flexibility for after-hours availability to meet urgent needs and deadlines.

What You'll Do

  • Manage, prioritize, and organize the CEO’s calendar and schedule.
  • Screen, manage, and respond to the CEO’s inbox and incoming communications, prioritizing urgent matters.
  • Provide executive administrative support for special projects, including analysis and preparation of supporting documentation.
  • Coordinate adherence to deadlines and the completion of special projects, correspondence, and reports.
  • Develop and refine presentations for the executive leadership team.
  • Plan and organize meetings, attend as required, and report back on key priorities.
  • Bid out and negotiate terms with vendors and key resources.
  • Assist with the development and preparation of various reports and schedules.
  • Compose, edit, and proofread correspondence, contracts, reports, and presentations.
  • Update task management software with key action items and provide communication support.
  • Compile meeting agendas and minutes, and perform routine administrative tasks like filing and drafting.
  • Read and analyze incoming memos and reports to determine significance and distribution.
  • Maintain strict confidentiality of company and executive information.
  • Occasionally interview candidates and perform other administrative functions as requested.

What We're Looking For

  • 3+ years of experience directly supporting executives.
  • 10+ years of total administrative experience.
  • A high level of accuracy and attention to detail.
  • Ability to work independently and solve problems proactively.
  • Availability after regular hours when needed and ability to handle critical deadlines on short notice.
  • Strong written and verbal communication skills.
  • Strong proficiency within the MS Office Suite.
  • Ability to develop client and executive-ready presentations and materials.
  • An Associate’s degree from an accredited university.

  • A Bachelor’s degree from an accredited university.

You will report directly to the CEO, providing critical support to the CEO and the broader executive leadership team.
