About the Role

Job Title Relationship Dynamics Coordinator The Relationship Dynamics Coordinator manages the complete proposal lifecycle for evaluation opportunities, encompassing RFPs, panel submissions, and extensive multi-property engagements. This position directs onshore proposal workflow management, orchestrates offshore support coordination, and guarantees that each proposal is punctual, precise, persuasive, and synchronized with targeted financial margins. The Relationship Dynamics Coordinator serves as the primary connection point between producers, assessment teams, finance, and operational divisions for all proposal activities. Key Responsibilities Proposal Strategy and Stewardship • Manage comprehensive proposal process for designated evaluation opportunities from initial intake through submission and post-submission assessment • Collaborate with producers, assessment teams, regional leaders, and client relationship managers to comprehend client requirements and decision frameworks • Convert client specifications into coherent proposal strategies, compelling narratives, and customized value propositions for assessment services • Validate that proposals accurately reflect scope, assumptions, pricing, service expectations, and commercial parameters Onshore Workflow Orchestration • Direct onshore proposal workflow including intake, prioritization, task allocation, and strategic routing • Maintain comprehensive visibility of proposal pipeline and ensure stakeholder awareness of timelines, interdependencies, and current status • Synchronize subject matter specialists, assessment leaders, finance, legal, and operational teams to collect inputs and secure approvals • Establish standardized processes, documentation templates, and verification checklists specific to assessment proposals to minimize redundancies and enhance quality and efficiency • Track workload and team capacity, escalating resource requirements when necessary Offshore Support Coordination • Supervise and coordinate offshore support teams responsible for drafting, formatting, research, and data compilation • Provide explicit written task instructions, defined service expectations, and precise turnaround timeframes to external partners • Conduct comprehensive reviews of offshore-produced work to ensure precision, uniformity, and alignment with organizational and assessment standards • Continuously refine operational guidelines, documentation templates, and training materials to optimize offshore team performance Quality, Compliance, and Governance • Confirm all proposals adhere to internal risk management, legal, compliance, and brand guidelines, alongside client procurement specifications • Maintain and refresh centralized repository of approved proposal content, including service descriptions, team profiles, case studies, and pricing guidance • Facilitate internal review processes and secure approvals for complex or strategic proposals, including governance interactions with senior assessment and operational leadership • Manage version control for all proposal documentation Client and Stakeholder Engagement • Function as a trusted advisor to producers, assessment leaders, and client relationship managers regarding pursuit strategies and positioning • Support or lead responses to client clarification requests and follow-up inquiries • Coordinate and prepare materials for client presentations and oral discussions • Document and analyze feedback from clients and internal teams post-proposal, integrating lessons learned into future submissions Performance Management and Continuous Enhancement • Monitor and report critical metrics including proposal volume, success rates, cycle duration, margin performance, and client satisfaction • Identify underlying trends and root causes impacting win rates, pricing discipline, and operational effort • Propose and implement process improvements, technological enhancements, and collaborative models for onshore and offshore proposal support • Contribute to training and skill development programs for producers and support teams Additional Responsibilities • Execute supplementary duties supporting client engagement, proposal management, and operational excellence Qualifications • Bachelor's degree in Business, Finance, Real Estate, or related field, or equivalent professional experience • Minimum five years experience in proposal management, client engagement, or operational roles within professional services • Valuation, real estate, or advisory business experience strongly preferred • Demonstrated success managing intricate proposals with multiple stakeholders and compressed timelines • Offshore or shared service team collaboration experience preferred • Comprehensive understanding of commercial frameworks, pricing strategies, and margin dynamics Skills and Competencies • Exceptional project and workflow management capabilities with meticulous attention to detail • Articulate written and verbal communication skills, translating technical concepts into client-accessible language • Capacity to establish trusted relationships and influence across diverse organizational functions • Adaptability in fast-paced environments with competing priorities and stringent deadlines • Microsoft Office proficiency, particularly Word, PowerPoint, Excel • Familiarity with CRM and engagement tracking platforms • Continuous improvement orientation focused on efficiency, quality, and margin discipline Success Metrics • Enhanced proposal success rates for evaluation opportunities with variations based on qualifications and geographic considerations.
