About the Role

Toppan is looking for a Certified Trauma Registrar to maintain the trauma registry database for an ACS-verified trauma center. You will be responsible for collecting, validating, and analyzing data on injuries, diagnoses, procedures, and outcomes to support quality improvement and compliance.

What You'll Do

  • Review daily system logs from the Emergency Department, Operating Room, and Hospital admissions to identify patients meeting trauma registry criteria.
  • Review, analyze, and interpret patient information from multiple sources to document injuries, procedures, complications, and other pertinent data.
  • Assume primary responsibility for concurrent data collection on specified data points.
  • Obtain financial information, including hospital charges and collections, from financial services.
  • Analyze data from all available patient information systems, including progress notes, operative notes, lab reports, x-ray findings, and autopsy data.
  • Review and update all in-patient charts on a daily basis when possible.
  • Accurately assign appropriate codes, including FIPS Codes, Hospital codes, E-Codes, ICD-9/10-CM codes, and complication codes.
  • Accurately enter collected data into the Collector Trauma Registry.
  • Meet data completion requirements to facilitate daily, weekly, and monthly quality improvement activities.
  • In collaboration with the Trauma Program Manager and Trauma Medical Director, ensure compliance with all registry-related Level 1 Trauma Center Designation criteria.
  • Provide statistical reporting via downloaded Collector Trauma Registry data to the West Virginia State Trauma and Emergency Care System monthly.
  • Compile and submit registry data to TQIP on a quarterly basis.
  • Participate as an integral member of the Multidisciplinary Trauma Performance Improvement and Patient Safety Program, assisting in report generation and data validation.
  • Represent the trauma center in State and National Meetings regarding the Trauma Registry.
  • Review requested trauma data with leadership to assure compliance with Internal Review Board (IRB) requirements.
  • Provide data and statistical information for trauma research, education, outreach, studies, and audits as requested.
  • Participate in professional development, requiring a minimum of 8 hours of pertinent continuing education annually.
  • Assume primary responsibility for accurate and concurrent Trauma Registry data used for injury research, epidemiology, and quality improvement activities.
  • Obtain, abstract, correct, and enter appropriate patient data, both concurrently and retrospectively on all trauma patients.
  • Compile statistics, prepare reports, generate reports on trauma populations, and perform data searches for trauma-related research projects.
  • Complete data collection with 95% accuracy.

What We're Looking For

  • Graduation from an accredited program in Health Information Technology.
  • Completion of the Association for the Advancement of Automotive Medicine (AAAM) coding course within one year of hire.
  • Completion of the American Trauma Society (ATS) Trauma Registry course within one year of hire.
  • Certification as an RHIT (Registered Health Information Technician), RHIA (Registered Health Information Administrator), CSTR (Certified Specialist in Trauma Registry), or CAISS (Certified Abbreviated Injury Scale Specialist).

Nice to Have

  • One year of experience in a Health Information Management department or Trauma Registry department.
  • Previous experience with trauma registry or database systems.
  • Familiarity with ICD-9, ICD–10, AAAM coding, AIS/ISS scoring, and TRISS.
  • Completion of the CAISS (Certified Abbreviated Injury Scale Specialist) certification.

Team & Environment

You'll work closely with the Trauma Program Manager, Trauma Medical Director(s), PI Coordinator(s), Injury Prevention and Outreach Coordinator, and Trauma Nurse Clinician. You will report directly to the Trauma Program Manager.
