About the Role

The Canadian Medical Protective Association (CMPA) is hiring an Executive Assistant to provide integrated support services to the Executive Director, Strategic Engagement & Governance. This position plays a key role in supporting the Executive Director to integrate three departments and promote effective communication.

What You'll Do

  • Plan and coordinate schedules, business travel, conferences, meeting bookings, and accommodation.
  • Screen and communicate directly on behalf of the Executive Director with the CMPA President, Councillors, senior management, members, and consultants.
  • Work closely with the Executive Director to stay informed of upcoming commitments, deadlines, and responsibilities.
  • Draft acknowledgement letters, personal correspondence, presentations, and other materials.
  • Respond to external requests for materials on behalf of the Executive Director.
  • Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature.
  • Coordinate meetings (Council Committees and cross-functional internal meetings), preparing agendas, materials, and meeting minutes.
  • Recommend and implement processes to support the effective integration and operations of the department.
  • Provide project administration for assigned one-time and ongoing initiatives.
  • Provide back-up support for other administrative positions within the portfolio.
  • Act as a super user for the External Stakeholder Management (ESM) system.

What We're Looking For

  • A Diploma or Certificate program (2-3 years) in Business or Administration.
  • A minimum of 7 years of experience in a senior administrative role supporting executives.
  • Experience drafting internal and external correspondence.
  • Experience working in a fast-paced and high-volume environment.
  • Strong interpersonal skills.
  • Strong time management and organizational skills with attention to detail.
  • MS Office experience including sound knowledge in Word, Excel, Outlook, PowerPoint and Visio.
  • Experience in time management and business communications (e.g., business writing).
  • Experience in taking meeting minutes and/or records of decisions.
  • Experience working with external stakeholders and corporate partners.

Nice to Have

  • Bilingualism in English and French is strongly preferred.
  • Courses in writing, project management, and time management are considered an asset.

Team & Environment

This role reports to the Executive Director, Strategic Engagement & Governance and supports the integration of three departments: Executive Services & Governance, Communications & Marketing, and Strategic Engagement & Advocacy.

Benefits & Compensation

  • Salary range: $85,500 to $99,400

Work Mode

This is a hybrid role open to candidates in Ontario and Québec.
