Jones Lang LaSalle (JLL) is hiring an Assistant Facilities Manager to join our team in Paris. You will report to the EMEA Senior Facilities Manager and support the Global Customer Experience Director in managing the tactical delivery of Facilities Services for an assigned property portfolio, including our Amsterdam and Copenhagen offices. The role is the primary point of contact for key stakeholders and is responsible for the overall customer and facilities experience.
What You'll Do
- Manage, coach, and develop the on-site team and vendor groups to encourage high performance, morale, and collaboration.
- Promote and support a first-class customer experience, building effective relationships with key stakeholders and resolving all client issues.
- Assist in managing all contractors on site to ensure they perform to required standards and that vendor KPI’s and SLA’s are consistently achieved.
- Support vendor procurement processes and ensure all contracts are professionally delivered at the right cost and in line with JLL's Code of Ethics.
- Assist in ensuring the site’s financial operations meet targets, managing the finance process from conception to verification, and submitting Order Requests as necessary.
- Implement and manage safety procedures for a safe working environment, record all incidents, and manage access to work procedures.
- Ensure procedural standards manuals are kept up to date and adhered to, and meet or exceed site Key Performance Indicators.
- Manage work orders on the CMMS (Corrigo) and use management information tools to drive down re-occurring faults.
- Conduct site inspections and assessments to ensure building procedures and performance measures are maintained, coordinating 24/7 emergency support.
- Support compliance with JLL minimum audit standards, carry out audits, and contribute to property risk management and business continuity plans.
- Attend all required management meetings and act as a positive ambassador for the business.
What We're Looking For
- Experience in facilities, property management, hospitality, or a related field.
- Competent Quality, Health, Safety and Environment skills to support implementation of soft service requirements.
- Knowledge of local health and occupational safety requirements.
- Experience dealing with facilities and vendor management for specialized services.
- Capacity to understand and interpret commercial contracts.
- Confidence in budget management and financial analysis.
- Ability to effectively deal with stressful situations.
- Superior people and contractor management skills.
- Strong communicator with good presentation skills and strong verbal & written communication skills in English and the local language.
- Computer literate with a good working knowledge of office software.
- An influential communicator, able to deliver clear and concise messages and identify mutually agreeable solutions.
Nice to Have
- A recognized certification in Quality, Health, Safety and Environment.
- 3 years of experience within a contract, project, or facilities management team including staff management and HR.
