ATS Companies is hiring an Administrative Specialist to support administrative and accounting functions within our Critical Facilities division. In this role, you will compile project costs, manage subcontractor and vendor paperwork, and ensure smooth financial operations.
What You'll Do
- Compile project cost details utilizing accounting software
- Create invoice packages in PDF
- Manage subcontract administration including paperwork, invoices, and payments
- Create project cost guidelines
- Complete customer prequalification applications
- Prepare and file use tax returns in multiple states
- Perform monthly job cost reviews
- Update and maintain master job cost and billing documents
- Process inter-company cost transfers
- Manage subcontractor and supplier lien release administration
- Handle jobsite insurance enrollment and maintenance
What We're Looking For
- High school diploma or equivalent
- 1-2 years of office experience
- Strong foundation in Microsoft Excel
- Exceptional time management and organizational skills
- Excellent communications and interactive skills
- Ability to work independently
- High attention to detail
- Acumen for workload prioritization, multi-tasking, and working under pressure to meet deadlines
- Initiative to complete projects, tasks, and assignments

- Compensation: $46,000 - $56,000
