This role serves as the central coordinator for all federal travel activities supporting NOAA's Office for Coastal Management (OCM). The specialist ensures full compliance with federal, departmental, and agency-specific travel policies while managing end-to-end logistics for approximately 110 federal employees and visiting travelers.
Key Responsibilities
- Coordinate domestic and international travel, including invitational, conference, and relocation assignments, using the E2 Solutions platform.
- Prepare and review travel authorizations and vouchers, ensuring accuracy and regulatory compliance.
- Act as the primary contact for travel-related inquiries and serve as a technical expert on DOC, NOAA, and NOS regulations.
- Support audit readiness by organizing documentation for audited travel and conference packages, with about a quarter of submissions undergoing formal review.
- Facilitate passport processing and renewals for federal staff and assist senior leadership with complex travel arrangements.
- Train new employees on travel procedures, credit card policies, and system use, promoting consistent compliance.
- Lead the development, submission, and tracking of conference packages, collaborating with other NOAA offices and reporting on expenditures.
- Improve travel operations by updating standard operating procedures and enhancing reporting processes.
- Manage interagency agreement setups, including account coding, funding allocation, and system troubleshooting in CBS.
- Coordinate with finance and program teams to ensure timely approvals and funding disbursement.
Qualifications
Candidates must hold a Bachelor's degree and bring at least five years of experience in administrative or compliance-focused roles. Proficiency with Microsoft Office, Google Drive, and E2 Solutions is essential. The ideal candidate demonstrates strong written and verbal communication skills, discretion in handling sensitive data, and the ability to operate independently in a team setting.
A National Agency Check (NACI) is required and must be maintained throughout employment. Experience supporting executive-level staff and navigating federal financial systems is highly valued.
