Responsibilities
- Respond promptly to client inquiries and address concerns effectively.
- Ensure services are delivered on time and meet quality standards.
- Follow up with users to confirm their satisfaction with provided services.
- Perform emergency technical repairs and maintenance on-site when required, identifying root causes of equipment system failures.
- Generate work orders and assign them to technicians, subcontractors, and vendors.
- Review and verify the accuracy of all documentation submitted by vendors, including service reports.
- Oversee contracted hard services and ensure compliance with contractual obligations.
- Manage building maintenance activities and supervise on-site contractors; coordinate with M&E engineers to ensure preventive maintenance schedules are followed.
- Maintain an up-to-date annual plan outlining statutory inspections, meetings, and key operational events.
- Conduct facility inspections and take corrective actions based on findings.
- Report urgent issues to the Facilities Manager or client without delay.
- Prepare and submit quotations and proposals accurately and on schedule as requested.
- Ensure all maintenance tasks follow established procedures and use permit-to-work systems where applicable.
- Maintain consistent communication with end users, clients, and management regarding building conditions and issues.
- Collaborate with and support other members of the facilities management team.
- Submit a daily summary via email and Lark in English, detailing key events, issues, and incidents.
- Produce a monthly report in English using PowerPoint format, covering executive summary, QSHE metrics, KPIs, financials, HR updates, work orders, inventory, utility usage, and upcoming plans.
