What You'll Do
Coordinate the scheduling and distribution of Hanford Advisory Board (HAB) meetings, including agendas and work plans, in collaboration with federal and state representatives. Ensure all proposed agenda items are reviewed and approved by the U.S. Department of Energy, Environmental Protection Agency, and Washington State Department of Ecology in advance of meetings.
Finalize and distribute detailed meeting agendas at least 10 days prior to committee and full Board sessions. Serve as a central point of contact for ongoing communication between agency representatives, HAB leadership, and issue managers to support consistent information flow.
Prepare and deliver the HAB Annual Report upon request, providing a digital version to the DOE Federal Coordinator. Support the annual public involvement survey administered by the Washington State Department of Ecology by conducting outreach and compiling results for submission.
Requirements
Support the administrative and facilitation needs outlined in contract FY21-004 for the Hanford Advisory Board. Demonstrate prior experience assisting federal advisory committees or similar governance groups, with a working knowledge of Federal Advisory Committee Act (FACA) standards.
Coordinate effectively with representatives from multiple agencies, including DOE, EPA, and the Washington State Department of Ecology. Maintain strong organizational abilities to manage documentation, meeting logistics, and official communications.
Ensure the HAB library and official FACA-mandated repository are properly organized and maintained, compliant with federal recordkeeping expectations. Assist in implementing Board-established administrative procedures related to attendance, conflict of interest disclosures, policy development, and operational rules.
Clarify administrative protocols with DOE HAB Coordinators and HAB leadership as needed to prevent overlap with federal staff responsibilities. Operate remotely during public health restrictions and report to the official duty station in Richland, WA, for in-person meetings as required.
Work Mode
This position operates in a hybrid format, allowing remote work during the pandemic with periodic in-person attendance at 713 Jadwin Ave, Richland, WA 99352. Regular coordination with agency partners and adherence to federal compliance standards are essential components of the role.
