UPMC Hillman Cancer Center is hiring a Surgery Scheduler to support our Cardiovascular & Thoracic Surgery department. In this role, you will coordinate and schedule patients for surgical procedures while assisting the surgeon and administrator in developing and monitoring operational aspects.
What You'll Do
- Work directly with the department to troubleshoot procedural and operational issues.
- Coordinate and monitor patient follow-up using the Refract Tracker and EPIC systems.
- Prepare and forward all necessary admission reservations and requisitions, including patient demographics and insurance information, to hospitals.
- Coordinate cases and communicate with hospital personnel to obtain approval for admissions.
- Discuss and coordinate financial arrangements prior to surgery, including collecting pre-payments.
- Ensure informed consents are signed.
- Provide patients with pre- and postoperative instructions according to service-specific guidelines.
- Coordinate patient education seminars and schedule physicians accordingly.
- Collect data for research studies.
- Schedule pre-screening exams, diagnostic testing, post-operative appointments, and surgical cases for all patients.
- Ensure all billing and insurance information is current and accurate.
- Complete special projects as assigned.
- Act as a liaison between patients and referring physicians.
- Obtain pre-certification and referrals prior to the procedure date.
- Coordinate and track internal and external marketing efforts.
- Attend and schedule department meetings.
- Answer and respond to all incoming telephone inquiries regarding surgery, providing educational material verbally and in print.
What We're Looking For
- High school diploma or equivalent.
- Completion of a medical assisting program or 2-4 years of experience in a medical field.
- General knowledge of computer software and practice management databases.
- Strong organization, time management, and interpersonal skills.
- Tact and diplomacy in dealing with physicians, patients, families, and other employees.
- Ability to deal compassionately and professionally with patients.
- Ability to work independently and possess sound decision-making skills.
- Knowledge of insurance regulations, specifically Medicare, BC/BS, managed care plans, and workers compensation carriers regarding scheduling and approval of surgical procedures.
- Ability to prioritize work demands.
- Ability to consistently maintain confidentiality regarding all job assignments and related information.
- Access to medications is limited to distribution to the nurse.
- Act 34 clearance.
Nice to Have
- Previous surgery scheduling experience.
- Proficiency in medical terminology.
- Knowledge of the Epic practice management programs.
