Remote Talent LATAM is hiring a Senior Project Manager to lead the project management function and drive operational excellence for a digital marketing company. This strategic role focuses on building systems, processes, and governance to improve profitability and team efficiency.
What You'll Do
- Build budget tracking systems that prevent margin bleed and deploy real-time budget vs. actual tracking for all client accounts.
- Create dashboards that show leadership actionable insights and maintain a profitability dashboard for leadership with monthly reviews.
- Design workflows that make the team more profitable without working harder and standardize project workflows in ClickUp with templates and automations.
- Make tough calls about resource allocation and timeline enforcement, including implementing hard stops at 100% budget requiring MA approval.
- Coach the Junior Project Manager to handle tactical execution and define clear task distribution.
- Resolve escalations that can't be handled at lower levels and own the resolution of project-related client escalations.
- Attend key client meetings as needed and partner with Account Managers to manage client expectations proactively.
- Engage in strategic planning with leadership.
- Establish weekly budget review cadence with account teams and create and enforce escalation protocols.
- Maintain visibility into team capacity across all departments and forecast resource needs to flag capacity constraints.
- Balance workloads across team members to prevent burnout and ensure quality.
- Partner with leadership on hiring decisions based on capacity data.
- Audit existing workflows within first 30 days and present gap analysis to leadership.
- Identify and implement quick wins that immediately improve efficiency.
- Create urgency hierarchy and priority matrix so not everything is 'urgent'.
- Document all processes and train team on new systems.
- Serve as the operational hub connecting SEO, Paid Media, Content, Dev, and Client Success teams.
- Resolve resource conflicts and timeline dependencies across departments.
- Ensure smooth handoffs between teams during client onboarding and project execution.
- Facilitate communication without becoming a bottleneck.
- Build a scalable PM function that grows with the agency.
What We're Looking For
- 8+ years of project management experience in a digital marketing agency or similar environment.
- Proven track record of improving profitability through operational excellence.
- Experience managing cross-functional teams (designers, developers, strategists, media buyers).
- Direct experience with budget tracking, time management, and resource allocation at scale.
- History of implementing and optimizing project management systems from scratch or fixing broken ones.
- Advanced proficiency in ClickUp: able to build complex workflows, automations, dashboards, and custom fields from scratch.
- Experience with capacity planning tools and resource management features.
- Proficiency with time tracking tools and integration with project management platforms.
- Ability to build dashboards that surface actionable insights.
- Strong proficiency with Google Workspace (Docs, Sheets, Slides) for documentation and reporting.
- Strategic thinker who can translate the big picture into actionable processes.
- Bias for action: move fast, make decisions with imperfect information, and iterate.
- Excellent communicator across leadership, peers, and team members.
- Comfortable with conflict and enforcing deadlines and budgets without damaging relationships.
- Process-oriented and documents everything, building systems that work without you.
- Coaching mindset focused on developing people.
Nice to Have
- Experience with EOS (Entrepreneurial Operating System) or similar business operating systems.
- Familiarity with digital marketing deliverables (SEO, PPC, content, web development).
- Experience with AI tools for productivity and automation.
- Background in agency operations or consulting.
