Responsibilities
- Oversee daily scheduling in LMN, adjusting in real time to changes in field operations
- Keep client records, service notes, and seasonal reminders up to date in HubSpot, LMN, and QuickBooks
- Handle incoming client calls and email inquiries about services and scheduling
- Support field teams by coordinating follow-ups for potential service upgrades or additional work
- Examine crew timesheets for accuracy in job details, hours logged, materials used, and expenses
- Generate biweekly payroll summaries in Google Sheets formatted for ADP processing and monitor overtime
- Update internal systems with current operational data and crew activity notes
- Spot inefficiencies or operational challenges and take initiative to resolve them
Requirements
- Excellent written communication abilities
- High level of accuracy and attention to detail
- Hands-on experience with QuickBooks Online
- Proficient in using Google Workspace applications
- Prior experience with HubSpot or comparable CRM software
- Familiarity with LMN, Aspire Landscaping, or equivalent trade service industry tools
- Experience creating or maintaining Standard Operating Procedures (SOPs)
Nice to Have
- Background in home services, field operations, or industries with complex logistical demands
- Knowledge of ADP or similar payroll processing systems
