This role is for a seasoned administrative professional providing comprehensive support to experts in accident reconstruction and forensic consulting. You will manage complex calendars, coordinate travel and court dates, and ensure seamless scheduling across multiple active cases. Your work will directly impact the efficiency and accuracy of time-sensitive deliverables in a high-stakes environment.
Key Responsibilities
- Deliver advanced administrative support to technical specialists, including drafting, formatting, and proofreading expert reports, correspondence, CVs, and invoices
- Oversee daily operations for one junior administrative team member, including task delegation, workload management, and performance guidance
- Manage file intake, conflict checks, case documentation, and archival processes with precision
- Coordinate communication and document exchange with law firms, insurers, and third-party vendors while maintaining strict confidentiality
- Organize and maintain electronic records, including exhibits, technical drawings, photos, and case files
- Track critical deadlines, litigation timelines, and deliverables across multiple matters using case management systems
- Support onboarding, training, and workflow improvements for administrative staff
- Assist with monthly billing, expense reporting, work-in-progress tracking, and internal operations reporting
- Ensure compliance with document production and secure file-sharing protocols
Qualifications and Skills
Applicants should have at least five years of experience in senior-level administrative roles, preferably within legal, forensic, engineering, or consulting environments. Experience supervising administrative staff and supporting expert witnesses is highly valued. You must be proficient in Microsoft Office (Word, Outlook, Excel), comfortable with legal terminology, and familiar with litigation timelines and document control procedures.
Strong proofreading ability, technical formatting skills, and experience with time tracking or billing systems are considered assets. The ideal candidate is highly organized, discreet, and capable of managing competing priorities under tight deadlines.
