The Senior Administrative Assistant plays a key role in maintaining efficient operations within a leadership-focused department. This position provides essential support to executives and management by managing complex schedules, coordinating internal and external meetings, and overseeing travel logistics. The individual ensures seamless communication by screening calls, directing inquiries, and maintaining up-to-date calendars.
Key Responsibilities
- Coordinate and schedule appointments, conferences, and business meetings, including securing rooms, arranging catering, and preparing necessary materials
- Prepare, format, and proofread correspondence, reports, presentations, and statistical documents
- Develop and maintain organized filing systems for digital and physical records
- Compile data from internal and external sources for reports and presentations
- Assist with event planning, including social functions and departmental gatherings
- Manage office supplies, equipment maintenance, and vendor coordination
- Process invoices, expense reports, and reimbursement requests with attention to detail
- Support departmental communication by distributing information and liaising with other teams
- May serve in a supporting role for safety compliance or timekeeping systems
Qualifications
A high school diploma or GED is required, along with at least three years of administrative experience, preferably in an executive or leadership support capacity. Candidates with an associate degree or coursework in Business, Accounting, Healthcare Administration, or Communications will be given preference. Strong organizational abilities, discretion in handling confidential information, and proficiency in office software are essential.
