Trace3 is hiring a remote Sales Operations Specialist to join our team. In this role, you will be responsible for managing the complete sales order cycle for assigned regions, including creating and reviewing purchase orders, reconciling items, and ensuring fulfillment accuracy. You will work closely with vendors and internal teams to build relationships and drive operational efficiencies.
What You'll Do
- Lead the sales order cycle for assigned regions, engaging with regional teams to understand their business and recommend efficiency solutions.
- Provide guidance to internal teams on resolving variances.
- Contribute to and enforce purchasing standard operating procedures and policies.
- Ensure the purchasing process is executed correctly to minimize company liability.
- Manage the internal item setup process and coordinate with the sales team for proper item classification.
- Review orders for accuracy regarding item classification, shipping details, pricing, and purchase orders.
- Process drop-ship, special order, and inventory orders through the ERP platform in a timely manner.
- Send purchase orders to vendors and collaborate to resolve questions or discrepancies.
- Work with the inventory team to ensure backorder inventory for sales orders is sourced and purchased.
- Create billing schedules for installment orders to ensure correct client invoicing.
- Track all product-related line items and complete weekly follow-ups for unfulfilled items.
- Perform item fulfillment based on vendor bills, shipping confirmations, license keys, and support contracts.
- Request, track, and fulfill return authorizations.
- Problem-solve discrepancies and provide recommended solutions.
- Perform other duties as assigned.
What We're Looking For
- High school diploma or equivalent.
- Minimum of 3 years of related work experience in purchasing, sales operations, or logistics.
- Experience in Operations with strong internal controls knowledge and experience implementing processes and procedures.
- Strong Microsoft Excel skills.
- Excellent interpersonal communication skills for interacting with employees, vendors, and clients.
- Highly organized, detail-oriented, with excellent time management skills.
- Ability to effectively prioritize tasks in a fast-paced, high-volume, and evolving work environment.
- Ability to approach customer and sales requests proactively and consultatively.
- Comfortable managing multiple and changing priorities and meeting deadlines in an entrepreneurial environment.
Nice to Have
- Bachelor’s Degree.
- Experience with ERP systems; NetSuite is strongly preferred.
