Winning Assistants is hiring a full-time Sales & Administrative Representative for a mission-driven wellness clinic. You will act as the first point of contact for leads and patients, guiding them through the consultation booking process via phone, email, and SMS while handling key administrative duties remotely.
What You'll Do
- Handle inbound inquiry calls and respond to leads from digital marketing funnels.
- Make outbound calls to warm and cold leads to share information and book appointments.
- Educate prospects about services, pricing, and clinical approach using a consultative tone.
- Guide leads toward booking a low-cost initial consult and prepare them for next steps.
- Schedule consultations and follow-up appointments using EHR and internal tools.
- Coordinate with medical providers, clinical team, and support staff.
- Process payments for consults, lab tests, and service packages.
- Maintain accurate lead and patient records in CRM and EHR systems.
- Act as a warm, compassionate point of contact via email, phone, and SMS.
- Provide timely follow-ups and clear guidance to prospective and current patients.
- Log all interactions and statuses to ensure smooth onboarding and funnel progression.
What We're Looking For
- Excellent spoken and written English with a warm, professional tone.
- Strong critical thinking skills to handle objections and guide conversations strategically.
- Proficient with Microsoft Office, CRM tools (e.g., Hubspot, Zoho), and EHR systems.
- Comfortable with inbound/outbound calling, including cold calls.
- Strong admin experience: scheduling, payment processing, and task management.
- Must have relevant work experience.
- Able to submit an NBI clearance and/or Local Police Clearance background check before onboarding.
- Available for video meetings with your camera on when needed.
Nice to Have
- Familiarity with Go High Level funnels, workflows, and pipeline automation.
- Experience working with health and wellness businesses, such as integrative or functional medicine clinics.
- Prior knowledge of treatments like peptides, PRP, weight loss injectables, or TMS (training provided if not).
- Kind, patient, and enthusiastic demeanor suitable for a first point of contact.
- Confident and composed under pressure.
- Detail-oriented with a sense of urgency.
- Self-motivated and accountable in a remote setup.
