Responsibilities
- Lead and mentor two Resource Coordinators, one supporting Accounting & Assurance and the other Tax, by establishing performance expectations, delivering continuous feedback, and resolving escalated resource issues.
- Act as a strategic advisor to two departments concurrently, unifying scheduling and capacity data across the firm and converting insights into practical guidance on staffing, client workload distribution, and hiring.
- Manage the annual process for setting departmental capacity commitments, refining the methodology each year, ensuring deadlines are met, and verifying outputs support overall billable hour goals.
- Initiate discussions with department leaders about scheduling patterns, capacity limitations, and evolving staffing demands, using data to inform collaborative solutions.
- Collaborate with Resource Coordinators and department heads to link scheduling data with daily observations, identifying skill shortages, cross-training opportunities, and hiring needs, then presenting findings clearly to leadership.
- Serve as the primary internal contact for implementing resource and scheduling software, overseeing stakeholder coordination, system configuration, training, deployment, and ongoing management after launch.
- Develop strong working relationships with department leaders in Accounting & Assurance and Tax, actively participating in leadership conversations about staffing strategy, engagement planning, and team capacity, while ensuring consistent reporting from Resource Coordinators.
- Stay informed about communication flows across both departments, including roles such as in-charges, coaches, and department heads, to ensure timely information sharing and reinforce scheduling decisions at all levels.
- Work with department leaders and HR to support employee growth, including tracking workload patterns, spotting training needs, and assisting with pairing staff for performance evaluations and feedback cycles.
- Oversee all firm-wide scheduling and capacity communication protocols, promoting consistency and driving improvements across both departments.
- Attend departmental meetings, leadership retreats, and strategic planning sessions, contributing insights and supporting broader organizational initiatives as required.
