How to Manage a Small Law Firm is hiring a Remote Staff Accountant to maintain accurate financial records for assigned clients. This role is responsible for account reconciliations, journal entries, and delivering timely monthly financial reports while serving as a key liaison with clients and internal advisors.
What You'll Do
- Audit coding, payroll entries, and reconciliations to ensure accuracy and identify discrepancies.
- Perform designated mid-month and end-of-month procedures following standard operating procedures.
- Close the books and deliver complete monthly reporting packages by the 8th business day of the following month.
- Resolve Quality Control review notes and document outcomes.
- Review newly onboarded client accounts, document details, and set up QuickBooks Online files.
- Prepare monthly three-way trust reconciliations, document variances, and follow up persistently with clients.
- Serve as the primary client contact for missing documentation and questions about reports and trust reconciliations.
- Communicate key observations for review by fractional CFOs, Controllers, or Legal Management Advisors.
- Draft clear, professional written communications for clients, advisors, and internal documentation.
- Participate in client or advisor calls to explain bookkeeping items or request information.
- Proactively escalate issues before they become larger problems.
- Support financial analysis by preparing reports or answering questions for HTM Controllers and Advisors.
- Assist with training new technical staff through shadowing and feedback.
- Record daily time by client in the applicable system.
- Complete year-end close activities and post year-end tax adjusting entries.
- Obtain QuickBooks certification and attend all required internal trainings.
- Maintain confidentiality of all client information.
What We're Looking For
- Strong understanding of general accounting principles, particularly payroll journal entries.
- Highly organized, detail-oriented, and strong problem-solving skills.
- Proficiency with accounting software and spreadsheets.
- Ability to work in a fast-paced, team-oriented environment with tight deadlines.
- Excellent written and verbal communication skills in English.
- Confidence interacting directly with clients and explaining bookkeeping matters clearly via Zoom, phone, or email.
- A minimum of one year of related accounting or financial control experience, or significant advanced bookkeeping experience.
- Must reside in one of the following states: AZ, CO, FL, GA, IL, MD, MI, NC, NJ, NY, PA, TX, VA, or WA.
Nice to Have
- Bachelor’s degree in Accounting or Finance.
- QuickBooks Online experience.
- Experience with escrow or trust accounting for law firms.
- IOLTA or trust accounting and reconciliation experience.
