ScaleSource is hiring a dedicated Remote Administrative Assistant to become an operational extension of a U.S. electrical services franchise. Your core mission is to protect technician productivity and reduce front-office overload by managing key customer and dispatch workflows. This full-time role offers direct visibility into operational impact and a chance to integrate deeply with a local business.
What You'll Do
- Answer inbound calls professionally using approved scripts and promptly manage customer inquiries.
- Schedule service calls and inspections, confirm appointments, and communicate any updates or changes.
- Compile daily call runs, support dispatch coordination, and help optimize routing for technicians.
- Proactively fill schedule gaps from cancellations and notify customers of any changes.
- Track daily sales averages, monitor closing ratios, and maintain accurate CRM records.
- Update operational dashboards to support reporting visibility and performance tracking.
- Track service agreement renewals and schedule recurring maintenance appointments.
- Follow up with membership clients to protect and secure recurring revenue streams.
- Assist with invoicing coordination and support payment tracking.
- Maintain organized digital records and assist with various reporting and operational tasks.
What We're Looking For
- Experience in customer service, dispatch, or administrative support roles.
- Strong verbal and written communication skills with professional phone etiquette.
- Experience working with CRM systems, with a preference for ServiceTitan or similar field-service CRMs.
- Experience using VoIP or cloud-based phone systems.
- Proficiency in Google Workspace or Microsoft Outlook.
- Experience with communication platforms like Slack or Microsoft Teams.
- Comfortable using spreadsheets and basic reporting dashboards.
- Strong attention to detail and the ability to work in fast-paced environments.
- Availability to overlap with U.S. business hours (PST, CST, or EST).
- A professional and quiet remote work setup with a PC and reliable high-speed internet.
- Polished Zoom presence and strong virtual communication skills.
- Ability to manage customer calls while simultaneously handling administrative workflows.
- Willingness to submit an introductory video as part of the hiring process.
