As the first point of contact for the office, you will manage incoming calls and greet visitors with professionalism and care. You will ensure smooth daily operations by handling correspondence, coordinating mail distribution, and supporting internal teams with administrative tasks.
What You'll Do
- Answer and route phone calls promptly, ensuring clear communication and proper follow-up.
- Receive guests, notify team members of arrivals, and assist with visitor logistics.
- Process incoming and outgoing mail, distributing items to the appropriate departments, branches, or external partners according to company standards.
- Support HR with onboarding logistics, event coordination, and recordkeeping, including attendance tracking and document registration.
- Assist with administrative projects such as supplier coordination, document delivery, and credential setup for new hires.
- Maintain organized records and ensure compliance in document handling and filing systems.
Requirements
- Bachelor’s degree in an administrative discipline.
- At least two years of experience in administrative roles.
- Intermediate English proficiency for written and verbal communication.
- Strong command of Microsoft Office and Outlook.
- Attention to detail in document tracking and record management.
- Ability to communicate clearly and adapt tone based on audience and context.
- Experience in planning and supporting events within set guidelines.
- Strong writing skills with accuracy in grammar, spelling, and structure.
