The Receptionist at JLL serves as the first point of contact for the office, creating positive experiences for visitors, clients, and employees. This role ensures smooth daily operations through managing correspondence, coordinating logistics, and providing administrative support to leadership in a dynamic corporate real estate environment.
What You'll Do
- Receive, process, and manage the distribution of all external correspondence including mail, invoices, purchase orders, and packages to ensure timely delivery to appropriate departments and personnel
- Greet and attend to all office visitors with professionalism and warmth, creating positive first impressions while managing visitor registration, access protocols, and guest coordination
- Answer, screen, and direct incoming calls to the appropriate departments or individuals, ensuring efficient communication flow throughout the organization and professional phone etiquette at all times
- Coordinate transportation logistics by arranging taxi reservations for employees and managing dispatch of orders, documentation, accessories, equipment, and other items within the Metropolitan Region and to other regions using various transport companies
- Validate motorcycle courier service vouchers for monthly billing purposes, maintaining accurate records of all delivery services and ensuring proper documentation for accounting processes
- Provide administrative assistance to management on various tasks, including scheduling support, document preparation, maintaining organized filing systems, and managing registration forms and spreadsheets
- Utilize office software including Excel, Word, Outlook, and Teams to maintain records, communicate effectively, and support daily operational needs with intermediate-level computer proficiency
What We're Looking For
- Intermediate level of English proficiency with ability to communicate effectively in both written and spoken English for business correspondence and visitor interactions
- Intermediate computer skills with practical working knowledge of Microsoft Office suite including Excel, Word, Outlook, and Teams to manage administrative tasks and digital communications
- Proven experience in administrative tasks, preferably including front desk operations, customer service, or public-facing roles that demonstrate professional communication abilities
- Strong time management and organizational skills with demonstrated ability to prioritize multiple tasks, manage competing demands, and maintain efficiency in fast-paced environments
- Professional demeanor with excellent interpersonal and communication skills, capable of representing JLL with courtesy, discretion, and a service-oriented mindset at all times
Nice to Have
- Previous experience providing administrative support or assistance to management or executive-level personnel, demonstrating ability to handle sensitive information and complex scheduling needs
- Background working in corporate environments, particularly in real estate, property management, or professional services firms where multi-tasking and client interaction are essential
- Familiarity with logistics coordination, courier services, and vendor management processes for managing deliveries, shipments, and transportation arrangements
- Experience with visitor management systems, office security protocols, and reception area operations in corporate or commercial settings
- Demonstrated ability to maintain composure and professionalism when managing difficult situations, unexpected challenges, or high-volume periods at the front desk
- Knowledge of filing systems, document management practices, and record-keeping standards that ensure organized and easily accessible information
- Customer service training or certifications demonstrating commitment to excellence in client and visitor experiences
