We are looking for an independent contractor to join our remote team as an Assistant Community Manager VA, providing essential support to clients in the property and homeowners association sector. This position operates on a full-time basis, with a consistent schedule from Monday to Friday, 8 AM to 5 PM Eastern Time.
Key Responsibilities
- Manage ARC submissions and generate service requests in compliance with established guidelines
- Issue and track work orders, coordinating access for vendors when necessary
- Handle invoicing by sending documentation to Accounts Payable
- Monitor unit leasing activities and verify insurance compliance
- Process move-in and move-out applications and schedule related appointments
- Review and submit daily owner verification forms
- Oversee clubhouse reservations, including scheduling, access, and inspections
- Support leadership with special initiatives upon request
- Prepare, edit, and distribute community communications, including digital notices and board updates
- Assist in organizing Board and Annual Meetings, including managing proxies and ballots
- Set up virtual meeting spaces and maintain association contact records
- Collaborate with internal teams to ensure smooth operations
- Respond to action items and update records in Vantaca as assigned
- Upload and maintain community data such as owner details and property notes
- Monitor and reply to emails across personal and regional inboxes promptly
Requirements
- Demonstrated professionalism and strong interpersonal skills
- Exceptional organizational abilities with close attention to detail
- Proven experience in administrative functions and task management
- Ability to manage multiple priorities and follow through independently
- Skilled in problem-solving and conflict resolution
- Team-oriented mindset with a collaborative approach
- Proficient in business software including Outlook, Teams, Zoom, and MS Forms
- Experience with Vantaca is a plus; willingness to learn new platforms is essential
- Accuracy in data entry and recordkeeping
- Ability to interpret governing documents related to associations
- Strong written and verbal communication skills
- Must be located in the Philippines or Mexico
- Availability to work 40 hours weekly during EST business hours
