About the Role We are searching for a meticulous and systematic Project Coordinator to support our project management team in guaranteeing seamless project execution from contract initiation to completion. The optimal candidate is proactive, technologically adept, and comfortable navigating dynamic construction or trade environments. This position demands exceptional communication, document management, and coordination capabilities to maintain project timelines and client satisfaction. Key Responsibilities • Project Documentation: Complete daily data input in project management software and maintain precise, current project documentation. • Submittals Management: Generate comprehensive, precise submittals within 48 hours of receiving the NEW CONTRACT email and ensure thorough review before forwarding to Project Managers. • Sample Coordination: Request samples expeditiously, update tracking details, and maintain the Submittal and Samples Tracking file to keep office and project teams informed. • Communication: Sustain consistent, anticipatory communication with Project Managers, clients, contractors, and suppliers to ensure alignment across project stages. • Documentation Uploads: Manage and upload essential project documentation in client third-party platforms to maintain compliance and support timely payment. • Compliance & Closeout: Submit preliminary notices for all projects and deliver closeout documents within one business day of client request. • Procurement Support: Assist Project Managers with material orders, vendor coordination, and procurement tasks as required. • Safety Coordination: Support client safety documentation requests, coordinate training, and ensure adherence to project-specific safety standards. Qualifications • 2+ years experience in project coordination, construction administration, or related field • Proficiency in construction management software preferred • Exceptional organizational, multitasking, and time management skills • Strong written and verbal communication abilities • High attention to detail and accuracy • Ability to work independently and manage multiple deadlines • Experience handling vendor coordination and document tracking Preferred Skills • Familiarity with construction submittals, COIs, and safety documentation • Experience working with general contractors or trade subcontractors • Strong Excel and file management skills This is a full time role 100% Remote Up to $6/hr
