KPFF is hiring a Project Coordinator

About the Role

Support a high-performing engineering team by managing key coordination tasks across project execution, from contract setup to financial reporting. This role ensures projects remain aligned with established scope, timeline, and budget through organized administrative and operational support.

What You'll Do

  • Administer contracts and amendments, ensuring compliance and timely execution
  • Track insurance documentation and manage subconsultant agreements
  • Prepare fee estimates and assist in defining project effort levels
  • Issue and manage task orders and work directives
  • Monitor project budgets, track expenses, and identify financial variances
  • Generate monthly invoices and progress reports for client review
  • Respond to internal and external inquiries on billing, contracts, and project status
  • Support project controls by tracking scope, schedule, and cost performance
  • Organize and maintain project files from initiation through closeout
  • Develop and update project schedules, sharing milestone updates as needed
  • Coordinate meetings, agendas, notes, and follow-up actions
  • Facilitate construction-related processes such as submittal reviews and RFI routing
  • Manage project deliverables, quality assurance checks, and stakeholder communications
  • Prepare technical documents, memos, and reports for internal and client use
  • Serve as interim contact for project managers when unavailable
  • Create standardized templates in Word and Excel to streamline operations
  • Build financial tracking systems and support business development research
  • Contribute to marketing and promotional materials for market expansion

Requirements

  • Proficiency in Microsoft Word and Excel for document and data management
  • Strong organizational skills with attention to detail
  • Experience in project coordination, contract administration, or project accounting
  • Ability to manage multiple priorities across engineering and construction projects
  • Clear communication skills for interacting with internal teams, clients, and third parties

Work Environment

This is an onsite position located in downtown Seattle, Washington. The role requires consistent collaboration with project teams and stakeholders, supported by structured workflows and digital tools.

Qualifications: * Registered PE with a minimum of 7 years of experience (PE preferred, not required) * Civil background including land development, utilities, stormwater/drainage design, parks, ports and public improvements * Project management experience (business development experience is a plus) * AutoCAD Civil 3D proficiency * Superior written and verbal communication abilities, with experience in direct client interactions * Ability to handle multiple concurrent projects and priorities * Passionate about providing exceptional client service Work Authorization/Sponsorship – At this time, KPFF is unable to provide visa sponsorship or transfer for this position. Additional Information: CompensationThe base salary for this role is competitive and will be determined based on the candidate's experience, education, and skills. The expected range for a qualified candidate for this Civil Engineer position is $95,000-$115,000. Additionally, we offer performance-based bonuses to recognize and reward outstanding contributions in each Reporting Center.
