The Project Closeout Consultant is responsible for managing the collection, organization, verification, and delivery of construction closeout documentation for commercial projects. This role ensures a smooth transition from construction to operations by coordinating with subcontractors, project teams, and building owners to deliver accurate, complete, and searchable documentation via the DataSphere platform.
Responsibilities
- Collect closeout documentation from general contractors and subcontractors throughout construction
- Track submission status and follow up on outstanding items to ensure all required documents are received
- Organize documentation in the DataSphere platform by system, room, manufacturer, and drawing number
- Verify that submitted documentation matches contract requirements and installed equipment
- Identify and correct discrepancies such as incorrect equipment manuals or missing warranties
- Audit documentation packages for completeness and accuracy before delivery
- Validate that HVAC manuals match installed equipment serial numbers
- Ensure electrical panel schedules reflect as-built conditions
- Confirm all required warranties are documented with proper start dates and coverage periods
- Work directly with project managers, project engineers, and subcontractors to collect documentation
- Provide status updates to general contractors
- Participate in closeout coordination meetings
Requirements
- 2+ years working with construction documentation, project management, or facilities management
- Familiarity with construction closeout processes and typical documentation requirements
- Experience reading and interpreting construction drawings and specifications
- Proficiency with document management systems and cloud-based platforms
- Strong organizational skills with the ability to track hundreds of documents across multiple projects
Preferred Qualifications
- Background as a project engineer, project coordinator, or assistant project manager with a general contractor
- Experience in facilities management or building operations
- Knowledge of MEP systems (mechanical, electrical, plumbing) and building equipment
- Familiarity with CSI specification divisions and submittal processes
- Experience with construction management software
