In this onsite role, you'll provide essential administrative and coordination support to project teams and subcontractors, helping maintain accurate records and seamless communication.
What You'll Do
- Respond to incoming calls professionally, directing inquiries to the appropriate personnel
- Arrange meetings, prepare agendas, and distribute minutes promptly
- Manage mail distribution, resource room bookings, and maintain training documentation
- Track employee and equipment hours, ensuring timely and accurate data entry
- Prepare client-facing materials including reports, presentations, and proposals
- Process and validate invoices, supporting accounts payable workflows
- Coordinate with subtrades and on-site staff to verify project requirements are met
- Maintain attendance logs and support personnel data collection protocols
- Ensure all project-related information is properly documented, stored, and updated
- Carry out document control duties across project phases
Requirements
- 2 to 4 years of experience in an administrative capacity
- Excellent interpersonal skills with a courteous and professional phone presence
- Ability to build effective working relationships across diverse teams
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint
