About the Role
The Program Coordinator I provides administrative and operational support for clinical programs, assisting with scheduling, documentation, and communication across departments to ensure efficient service delivery.
Responsibilities
- Coordinate daily operations of assigned clinical programs
- Manage participant scheduling and appointment logistics
- Maintain accurate electronic health records and program documentation
- Support data entry and ensure timely updates in internal systems
- Assist with onboarding new participants and staff orientation materials
- Respond to internal and external inquiries promptly and professionally
- Prepare reports and summaries for program leadership
- Track program metrics and assist with quality improvement initiatives
- Schedule and organize meetings, including preparing agendas and minutes
- Facilitate communication between clinical staff and administrative teams
- Order and manage supplies and equipment for program sites
- Ensure compliance with confidentiality and HIPAA regulations
- Assist in the development and updating of program procedures
- Coordinate with external partners and referral sources
- Support grant-related administrative tasks as needed
- Monitor calendars and deadlines for program deliverables
- Assist in organizing training sessions and educational events
- Maintain program-specific databases and tracking tools
- Help prepare presentations for internal and external stakeholders
- Participate in cross-departmental projects and process improvements
- Ensure physical spaces are prepared for clinical and administrative activities
- Support crisis management protocols with timely communication
- Assist in preparing materials for audits and regulatory reviews
- Track participant progress and follow-up requirements
- Promote a respectful and inclusive work environment
