The Senior Production Coordinator acts as a central point of coordination for one or more departments on a visual effects or animation project, supporting producers and production managers in maintaining smooth operations. This role ensures that artistic teams stay on track by managing schedules, tracking progress, and facilitating clear communication between supervisors, leads, and artists.
Key Responsibilities
- Organize and maintain team calendars using Google Calendar, including regular touchbases and review sessions
- Prepare playlists and manage logistics for dailies and client reviews, whether in-person or remote
- Record and distribute notes from review sessions, ensuring feedback reaches the appropriate artists promptly
- Track shot status and asset progress in Shotgrid, providing accurate reporting to production leadership
- Act as a liaison between departments, sharing updates that impact workflow or dependencies
- Monitor artist workloads, bid days, and quotas to support on-time delivery
- Identify potential delays early and collaborate with leads and assistant production managers to resolve issues
- Support artists by arranging necessary tools, software access, and equipment
- Assist in evaluating artist performance for task assignments based on skill and capacity
- Mentor junior coordinators and contribute to a positive, collaborative team environment
- Help manage overtime requests, ensuring compliance with workload and well-being standards
- Stay informed about team hours and energy levels to promote sustainable production practices
Qualifications & Skills
Candidates must have at least three years of experience in production coordination within visual effects, CG animation, or game development. A solid grasp of digital production pipelines—across departments such as Animation, CFX, FX, Lighting, and Comp—is essential. Familiarity with Shotgrid and production scheduling tools is required, along with the ability to troubleshoot basic technical issues in review environments.
Strong interpersonal skills are critical, including the ability to communicate professionally with creative teams and clients. The ideal candidate is proactive, highly organized, and capable of managing multiple priorities under tight deadlines. They approach challenges with composure and demonstrate initiative in problem-solving and process improvement.

This is a full-time, on-site role based in Vancouver, BC, with project-based scheduling.
