Responsibilities

  • Assist the Procurement & Contracts Manager in executing and coordinating procurement efforts across various simultaneous projects and operational tasks.
  • Deliver part-time procurement support for client initiatives remotely, from corporate offices, or on-site as project demands dictate.
  • Help project teams with planning procurement strategies, preparing tender documents, managing bids, coordinating suppliers, and tracking procurement progress.
  • Support sourcing processes such as issuing RFQs, RFPs, and tenders, engaging suppliers, and conducting commercial assessments.
  • Manage procurement timelines, organize evaluation meetings, handle clarifications, issue addenda, and maintain procurement records.
  • Help develop and update procurement templates, evaluation scorecards, scoring systems, consensus reports, and tracking tools.
  • Support contract management tasks including drafting contracts and amendments, reviewing agreements, and coordinating execution. Contracts include construction, supply, master services, service, and consulting agreements.
  • Maintain organized procurement files, contract registers, supplier data, and project records in compliance with client and company standards.
  • Assist in reviewing timesheets and invoices, performing procurement reconciliations, and coordinating with accounting and project teams.
  • Support public and client-specific procurement processes in accordance with client policies, trade agreements, and Canadian competitive bidding rules.
  • Contribute to ESG goals, Indigenous economic reconciliation, supplier diversity, and responsible sourcing programs.
  • Support the creation and upkeep of supplier scorecards, supplier questionnaires, baseline spending analysis, and procurement reporting systems.
  • Assist with procurement compliance, including bid evaluations, audit-ready documentation, fairness protocols, and process consistency.
  • Participate in developing and refining procurement SOPs, templates, evaluation guidelines, and procedures.
  • Coordinate with suppliers, consultants, contractors, project teams, and client stakeholders during procurement and contract execution phases.
  • Support supplier onboarding, communications, follow-ups, and ongoing supplier relationship management.
  • Attend project meetings, procurement working groups, evaluation panels, and coordination sessions as needed.
  • Help gather market intelligence, conduct supplier research, and perform procurement benchmarking.
  • Support internal procurement operations including tracking, reporting, document control, and process coordination.
  • Assist in maintaining procurement dashboards, project trackers, meeting minutes, and action item logs.
  • Support initiatives aimed at improving procurement systems, workflows, templates, and project delivery methods.
  • Coordinate travel, meetings, workshops, and other procurement-related administrative tasks as required.

Compensation

$95,000 to $110,000 annually
