About the Role

Rockefeller Philanthropy Advisors is seeking a Practice Administrator to ensure the smooth daily operations of a healthcare practice dedicated to proactive, patient-centered care. This fully remote role involves coordinating patient schedules, managing clinical workflows, supporting remote clinical teams, and maintaining compliance with documentation standards.

What You'll Do

  • Coordinate patient care by scheduling consultations, confirming appointments, and managing pre-visit communications.
  • Liaise with pharmacies, vendors, and third-party service providers to support practice operations.
  • Maintain and organize clinical records, encounter notes, and task lists, ensuring adherence to privacy and documentation standards.
  • Monitor communication channels, prioritize and escalate issues as needed to maintain workflow continuity.
  • Develop and update standard operating procedures, checklists, and training materials.
  • Track key operational metrics and manage requests using internal systems to ensure timely completion.
  • Serve as the primary contact between clinical leadership, remote providers, and administrative staff.
  • Facilitate onboarding, meetings, and process improvements to support team enablement and effective communication.

What We're Looking For

  • Minimum of 3 years’ experience in clinical administration or medical office management.
  • Proven ability to manage complex schedules involving multiple providers and patient workflows.
  • Proficiency with Google Suite and strong familiarity with Slack or similar communication tools.
  • Excellent organizational skills with strong attention to detail and a proactive, solution-oriented approach.
  • Effective communication and interpersonal skills to collaborate across teams and external partners.

Nice to Have

  • Project management experience or certifications.
  • Background in telehealth, concierge medicine, or preventive health models.
  • Knowledge of healthcare quality and compliance frameworks.

Technical Stack

  • Google Suite (Drive, Sheets)
  • Slack or similar communication tools

Team & Environment

You will act as the central liaison between clinical staff, administrative teams, and external partners. You will also serve as the primary contact between clinical leadership, remote providers, and administrative staff.

  • Compensation: $100,000 to $110,000
