This role supports the successful implementation of the PDS 5-phase process by providing operational and administrative expertise during client transitions and transformation projects. Working closely with the Transition Lead, the specialist helps convert strategic objectives into actionable plans, ensuring alignment across teams and technology systems.
Key Responsibilities
- Develops and maintains process documentation, templates, and deliverables to support transition initiatives
- Tracks project timelines, milestones, and deliverables to ensure on-time execution
- Supports data entry, quality assurance, and system integrity across platforms including Ingenious, Spend app, Property Hub, and Azara
- Coordinates transition activities between service lines and deployment teams
- Translates high-level direction into detailed operational tasks and implementation steps
- Reviews and updates PDS operational standards and best practices
- Conducts performance analysis using account metrics to assess alignment with PDS benchmarks
- Identifies process inefficiencies and recommends improvements based on proven methodologies
- Supports client communications, meeting coordination, and status reporting
- Assists in gathering and analyzing data for on-account teams
- Documents risks, action items, and lessons learned throughout the transition lifecycle
- Supports transformation efforts across PDS, Capital Planning, and Relocation Project Management services
- Helps identify opportunities for service enhancement within existing client accounts
- Participates in client and internal meetings with senior stakeholders
- Utilizes tools such as Excel, Project, PowerPoint, Visio, SharePoint, and Workfront to manage workflows
- Coordinates logistics for virtual and in-person meetings via MS Teams
- Contributes to case studies, white papers, and quarterly performance reports
- Supports training initiatives, including material development and session coordination
- Maintains knowledge repositories and promotes best practice sharing across teams
Qualifications
A bachelor’s degree or equivalent experience is required, along with 2–4 years in project coordination, real estate operations, or construction administration. Candidates should have a working knowledge of project management principles and construction or move management processes. Strong analytical abilities, attention to detail, and clear communication skills are essential. Proficiency in Microsoft Office applications is expected, and experience with project management platforms such as Ingenious or Workfront is preferred. Familiarity with Lean methodologies, corporate real estate, or executive-level support is an advantage.

This is a hybrid role with remote and in-office options in Atlanta, Chicago, Houston, or Sacramento. The position requires flexibility in scheduling and may involve up to 25% travel.
