Responsibilities
- Act as a technical expert for payroll systems, ensuring accurate setup, calculations, and logic across multi-jurisdictional Canadian and U.S. operations serving around 9,000 employees.
- Ensure adherence to federal, provincial, state, and local tax regulations, including timely remittances and reporting obligations.
- Maintain comprehensive knowledge of end-to-end payroll workflows, from data entry through earnings, deductions, taxes, integrations, and reporting outputs.
- Track changes in legislation and regulations, then lead updates to system configurations, operational processes, documentation, and compliance rules.
- Collaborate with Payroll Operations, HRIS, Tax, and other teams to troubleshoot and resolve system-related payroll issues.
- Lead testing activities for system updates, patches, integrations, enhancements, and process modifications, ensuring full documentation.
- Verify the accuracy and integrity of payroll data flows, including integrated systems, while maintaining detailed records of configurations, tests, and compliance protocols.
- Evaluate existing payroll processes to identify inefficiencies, manual interventions, compliance exposures, and opportunities for automation or optimization.
- Provide guidance, training, and support to payroll staff on system usage, compliance updates, and process changes.
- Assist with backup payroll processing for both Canadian and U.S. operations during peak periods, absences, or increased demand.
Requirements
- 3 to 5 or more years of experience in payroll, with a post-secondary degree or diploma in Payroll, Human Resources, Business, Accounting, or a related field; combinations of education and practical experience may be considered.
- In-depth understanding of Canadian and U.S. payroll systems, including tax calculations, compliance frameworks, system logic, and process improvement opportunities.
- Proven ability to support payroll technology initiatives such as system testing, configuration analysis, integrations, upgrades, problem resolution, data validation, and process documentation.
- Strong interpersonal and communication skills, with experience working across HRIS, Tax, Finance, IT, and Payroll teams, and the ability to explain technical concepts clearly to diverse audiences.
- Proficient in Microsoft Office, particularly Excel, for data analysis, validation, and reporting tasks.
Nice to Have
- Experience with custom HRIS platforms like Personality, payroll systems such as ADP, or involvement in payroll system implementations, upgrades, integrations, or business rule validation is highly valued.
- Hold or actively pursuing a recognized payroll certification such as Payroll Compliance Professional, Payroll Leadership Professional, or similar designation.
