The University of Vienna is seeking an Organisationsassistent*in at the Institute for Inorganic Chemistry. You will independently handle administrative tasks for the institute and support the team in a pleasant, collaborative work atmosphere.
What You'll Do
- Act as a contact point and manage German and English correspondence with various internal and external interfaces.
- Manage the institute's budget: initiate payments, reimbursements, and honoraria via the Fiori system, and monitor income and expenses.
- Administer job posting and recruiting processes, supporting the onboarding of new staff and international students.
- Assist with teaching planning, including scheduling and room bookings.
- Maintain and update the institute's websites.
- Support visiting scientists and cooperation partners.
- Help scientific staff organize and administer their research and teaching duties, including the coordination of meetings, workshops, and travel activities.
What We're Looking For
- Completion of general secondary education (Matura) or a commercial apprenticeship, combined with long-term office experience.
- Several years of professional experience in office management, preferably in a scientific or university context.
- Excellent proficiency in MS Office.
- Excellent written and spoken German and English skills are essential.
- Strong written and verbal communication skills.
- Ability to work independently.
- Strong team skills.
Nice to Have
- Experience with Content Management Systems (e.g., Typo3) and SAP is advantageous.
