Role Overview

This position plays a central role in maintaining operational efficiency for a rapidly expanding direct-to-consumer activewear brand. As the Operations Coordinator, you will coordinate key processes across production, logistics, and inventory management, ensuring all stages of the supply chain are aligned and executed on time.

Key Responsibilities

  • Generate and upload SKUs with precision and meet all deadlines
  • Prepare and submit essential production documents such as purchase orders, sample requests, and SKU files
  • Track and follow up on PSRs from active suppliers
  • Maintain updated TNA schedules for overall production and individual orders
  • Manage the Work in Progress tracker for the Buying team
  • Record quality control findings and discrepancies tied to orders
  • Arrange and oversee third-party inspections and evaluate bulk inspection reports
  • Monitor PPS and TOP milestones, identifying potential delays early
  • Assist in resolving EXF issues and production setbacks
  • Work with Product to request required samples and track their delivery timelines
  • Coordinate media sample shipments as needed
  • Manage logistics from factory to warehouse through assigned freight partners
  • Verify and upload shipping documents, including packing lists
  • Track inbound shipments and proactively monitor estimated arrival times
  • Address and resolve shipment delays promptly
  • Share timely updates on incoming deliveries with internal stakeholders
  • Ensure warehouse receiving is completed accurately and inventory records are synchronized
  • Act as the main contact for the third-party logistics provider
  • Respond to warehouse inquiries and manage ongoing communication
  • Oversee receiving accuracy and maintain inventory integrity
  • Review weekly warehouse invoices and report any inconsistencies
  • Resolve operational issues related to warehousing efficiently
  • Conduct monthly inventory audits
  • Review monthly warehouse KPIs with support from the Customer Experience team
  • Collaborate with Marketing to align on core and collection launch dates
  • Execute launch-related tasks such as product activation and manual inventory uploads
  • Monitor post-launch sales and performance data
