University of Chicago is hiring an Operations Coordinator, Neurological Surgery

Responsibilities

  • Delivers advanced technical and administrative assistance to faculty in neurological surgery across various departmental initiatives.
  • Designs and executes systems to streamline communication, organization, and management of key projects and priorities for faculty members.
  • Prepares internal and external communications such as presentations, correspondence, and written content after conducting necessary research.
  • Oversees departmental communication efforts, including producing newsletters and maintaining websites tailored to specific audiences.
  • Gathers, prepares, and distributes reports and informational materials for the department.
  • Writes, edits, and publishes articles, news updates, and program summaries on websites and social media platforms.
  • Supports administrative processes related to faculty recruitment, hiring, reappointment, and promotions, including liaison duties with medical staff offices and coordination with committees and leadership.
  • Organizes complex departmental events and special projects involving multiple stakeholders, including international guests.
  • Manages continuing medical education (CME) programs, including application submissions and end-to-end event logistics.
  • Contributes to process improvement by evaluating and refining existing procedures to enhance efficiency and outcomes.
  • Helps train and onboard new staff as required.
  • Supports accurate tracking and scheduling of on-call physicians.
  • Oversees office environment maintenance, including equipment repairs, upgrades, and supply orders.
  • Demonstrates thorough knowledge of departmental and institutional financial policies, prepares purchase orders, and processes invoice payments and expense reimbursements.
  • Supports the creation and coordination of continuing education activities within the department.
  • Assists in managing graduate medical education (GME) training programs and medical student rotations.
  • Helps monitor clinical section finances and ensures compliance with budgetary guidelines.
  • Provides regular financial updates to leadership and ensures adherence to spending limits.
  • May serve as a point of contact between the department and other university units.
  • Performs additional related duties as assigned.
